Privacy Policy
Willow Skybridge Godo Kaisha (“we”) plans digital transformation work for companies in Japan. This policy explains what personal information reaches us through this website and by email, why we keep it, who else sees it, and how you can ask us to correct or delete it. It is written with the Act on the Protection of Personal Information (APPI) in mind.

1. What we receive
The contact form asks for your name, your email address and a message. Whatever you add to the message is also ours to read, so please keep it to what is needed for us to understand your question. Names of colleagues, a business name and a rough description of the systems you use are typical and perfectly fine; account numbers, passwords and anything you would not put on a postcard are not.
If you write to info@willow-skybridge.com or telephone our Matsuyama office instead of using the form, we receive the same kind of details, plus your phone number if you call from one we can see.
2. Why we use it
- To answer the question you sent, and to suggest which of our three pieces of work (landscape review, change sequencing session, vendor selection support) is the closest fit.
- To prepare a written proposal and invoice if you decide to engage us.
- To keep a short record of the exchange so that a later message from you does not start from zero.
- To meet legal obligations, for example keeping accounting records.
We do not use enquiry details for newsletters or mailing lists, and we have no sales team that calls people who have not asked to be called.
3. What this website itself stores
The pages do not load analytics, advertising or tracking tags from outside services at the time of writing. The only thing the site writes to your browser is a small record of the cookie choice you make in the banner, kept in your browser’s local storage so that the banner does not return on every page. Details are on the Cookie Policy. If we ever add a measurement or advertising tool, it will stay switched off until you allow it, and this policy will be updated before it goes live.
4. Information about your systems
Our work involves talking to people in your business about the software, spreadsheets and processes they rely on. During an engagement we therefore see inventories of systems, licence and maintenance costs, vendor names, interview notes and, sometimes, screenshots. We treat these as confidential business information, use them only for your engagement, and handle any personal data inside them (for instance staff names against system ownership) under the same rules as this policy. Confidentiality for an engagement is set out in the written proposal and in our Terms and Conditions.
5. Who else sees it
Access is limited to the people at Willow Skybridge who need it to answer you or deliver the work. We use an email provider and ordinary office software to do so; those providers handle data on our instructions and are not allowed to use it for their own purposes. We do not sell personal information and we do not pass it to vendors we evaluate for you. Where a supplier meeting is part of vendor selection support, we only share the names and roles that you have agreed we may share.
We will disclose personal information without your consent only when a law requires it, for example in response to a lawful request from a court or public authority.
6. Transfers outside Japan
Our email and office tools may store data on servers outside Japan. Where that is the case, we choose providers that commit to protecting the data to a standard comparable to the APPI, and we will tell you which country the servers are in if you ask.
7. How long we keep it
- Enquiries that do not lead to an engagement: deleted within twelve months of the last message.
- Engagement records and deliverables: kept for up to two years after the work ends, so that we can answer follow-up questions, then deleted unless you ask us to return or delete them sooner.
- Invoices and accounting records: kept for as long as Japanese tax and corporate law require, generally seven years.
8. Keeping it safe
Messages and files are kept in access-controlled accounts, devices used for the work are protected with passwords and disk encryption, and we remove people’s access when it is no longer needed. If a leak affecting your information occurs, we will tell you promptly, describe what was involved and report it to the Personal Information Protection Commission where the law requires.
9. Your requests
Under the APPI you may ask us to tell you what personal information of yours we hold, to correct it if it is wrong, and to stop using or delete it if it is being used beyond its purpose or is no longer needed. To make a request, write to info@willow-skybridge.com or send it through the contact page, mentioning the name and email address you used. We may ask a question or two to confirm that the request really comes from you, and we will reply without undue delay. A request will not affect how we treat any engagement you already have with us, other than where the data is needed to carry it out.
10. Complaints
If you are unhappy with how we handled your information, tell us first at the address above and we will look into it. You may also contact the Personal Information Protection Commission of Japan.
11. Changes to this policy
When our practice changes, we update this page and the date below. Last updated: 19 October 2026.
